USE OF THE SQUARE SCHEDULE OF CONDITIONS
Please read these Conditions carefully before you sign your acceptance on the Booking Form

1. Consent to use The Square is granted in accordance with the Shrewsbury and Atcham Borough Council Act 1998, and the hirer must comply with all conditions within the Act, all current Health and Safety legislation and any other legislation and conditions which apply to the activity being undertaken.
2. It is essential that all organisations consider the health and safety issues involved with the event and forward to us, a written Risk Assessment. Permits will not be given until these have been received.
3. It is the responsibility of the named organisation to obtain any appropriate licences.
4. All organisers must indemnify the Council against any liability arising from their activities and a signature on the booking form signifies acceptance of this and all conditions on this sheet.
5. The event must take place in a position or location to be agreed in advance with the Bookings Office, whose requirements must be complied with in all respects. All installations must be logged with Shrewsbury and Atcham Borough Council.
6. It is essential that all organisations display a clear sign stating the name of the organisation.
7. Decisions in respect of more than one organisation having concurrent use will be reserved by SABC.
8. ANY DAMAGE WHICH MAY BE CAUSED TO COUNCIL PROPERTY SHALL BE MADE GOOD AT THE EXPENSE OF THE ORGANISATION BOOKING THE SQUARE.
9. No articles shall be collected or sold outside the protected (central) area of The Square (delineated by thick black line on the plan).
10. Organisations undertake to devote the proceeds of any sale or collection to the organisation named on the permit, and must complete and return any financial statements requested by the Council after the event.
11. Amplifying equipment is banned except in cases where a specific permit has been issued.
12. A 16 amp electricity supply is available if required. All electrical equipment must be Portable Appliance Tested. SABC electricians will be checking all installations and any equipment found not to be certified or substandard will be disconnected, or made good at the expense of the organisations concerned.
13. NO VEHICLES OTHER THAN THOSE SPECIFICALLY AUTHORISED ON THE PERMIT MAY BE BROUGHT TO THE PROTECTED AREA OF THE SQUARE, EXCEPT FOR LOADING AND UNLOADING PURPOSES. IF A CARAVAN ETC. HAS BEEN SPECIFICALLY AUTHORISED, THE VEHICLE TOWING IT MUST BE IMMEDIATELY REMOVED ONCE THE CARAVAN ETC. IS IN POSITION.
14. Any caravan or similar vehicle or equipment brought into The Square in connection with any approved use must be removed upon completion of the event. If a vehicle or machinery is being used, drip trays should be used and no oil should be allowed to leak onto the paving slabs.
15. Staff or volunteers at your event may be asked to produce the appropriate signed permit (coloured pink).
16. The area of The Square actually used and the immediate surroundings must be kept tidy and at the end of such use all litter and materials used for display be cleared up and The Square left in a clean and tidy condition. (Please contact the Council's Cleansing Superintendent at Sabrina Court, Longden Coleham, Shrewsbury, Tel. 01743 231900 regarding the provision of refuse sacks). Public litter bins must not be used to dispose of hirer's rubbish.
17. The public seats and flower tubs already in position in The Square must remain in those positions unless the SABC agrees in advance and in writing to the temporary relocation.
18. No use of the space should involve any item that may create a trip, impact, explosion or fire hazard, not only to the persons using The Square but to any persons and/or property within or adjacent to The Square.
19. No activity should cause nuisance or annoyance (whether to persons using The Square or otherwise).
20. No part of the occupied area of The Square for which consent is given is to be used for the purpose of collecting signatures for any petition, except where specific consent has been granted.
21. Any contractor or organisation whose vehicle is required for work in The Square should apply for a permit from the Bookings Office.
22. The nature/amount of publicity displays shall be agreed with the Bookings Office in advance of use and strictly adhered to. Publicity must not be given to organisations other than those specifically authorised.
23. Tables and flagpoles are to be collected from and returned to the Music Hall at the precise times specified.
24. All charity users undertaking a raffle will be required to specify the precise nature of the activity they are proposing, and may be asked to obtain an additional permit to comply with the Lotteries and Amusements Act 1976.
25. All users issued with a permit for a street collection, tombola, bottle stall, or similar will be required to complete a financial return within 8 weeks of the date of booking to ensure compliance with the relevant legislation.
